Job Summary
The Centre for Nursing Studies (CNS) is the largest nursing school in Newfoundland and Labrador. Programs offered include a four-year BScN (Collaborative) Program and an LPN Bridging option,offered in partnership with Memorial University Faculty of Nursing and Western Regional School of Nursing,a five-semester Practical Nursing Program,Re-entry Programs for RNs and LPNs,an IEN Bridging Program and Post-Basic Courses/Programs for RNs and LPNs.
Applications are invited for the temporary, full-time position of Clerk IVB. Position responsibilities include:
Provides administrative support to the Director and Associate Directors while exercising discretion and confidentiality.
Electronically prepares and distributes correspondence, reports and directives (e.g., CNS Annual Report, annual Canadian Association of Schools of Nursing (CASN) survey).
Assists with the organization of Faculty Development Days, other professional development sessions and special events.
Records, prepares and distributes the minutes, agenda, and other documentation required for Academic Council, and other committees.
Accepts, assists and/or redirects inquiries from the public, EH and Government of NL departments, schools of nursing and other agencies.
Utilizing the EH procurement card, is responsible for conference/workshop/education registration, travel arrangements, and other administrative purchases; reviews and manages financial transactions through the Spend Dynamics online tool.
Assists the Director in coordinating and managing Infrastructure (repairs and renovations) and Environmental Service's needs.
Orders equipment and submits service desk requests to HTDM/NLCHI (EH) and ITS (MUN) for information technology needs.
Annually confirms and records valid CRNNL registration of all faculty.
Assists with the preparation and distributes faculty teaching assignments.
Responsible for all aspects of payroll, including the preparation and electronic submission of attendance, including hours worked by faculty in other non-CNS departments.
Assists the CNS Management team with tasks related to HR, budget, development and revision of policies and procedures, etc.
Supervisory Duties
Supervisory role which works closely with the CNS Management team, to provide direction and address challenges within a team of clerical staff (7 other staff members) for all CNS programs.
Coordinates and supervises the work of the team,?which includes but is not limited to delegating and reviewing tasks to ensure that timelines are met with efficiency and accuracy.
Orientates and mentors' new clerical staff, coordinating and/or providing on-the-job training and feedback to ensure optimal performance.?
Identifies training and development needs, providing onsite education as required.
Approves clerical staff leave requests, while ensuring that an adequate pool of staff is available.
Monitors and ensures that the shared network drives and CNS mini web are relevant.
Reviews, develops, and revises office procedures to ensure relevance, efficiency and quality.
Job Qualifications
Successful completion of a two-year Office Administration program from an approved/recognized college is required.
Successful completion of an approved/recognized medical terminology course is required.
Minimum of five years of experience within the last seven in a progressively responsible administrative role is required.
Demonstrated proficiency in Microsoft Office, Excel, PowerPoint and Outlook is required.
Demonstrated strong leadership skills and the ability to mentor others.
Demonstrated initiative and the ability to work independently with minimal supervision.
Demonstrated strong organizational skills and the ability to prioritize work effectively.
Demonstrated ability to build and maintain effective working relationships.
A satisfactory record of work performance and attendance is required.
*Proof of a current office administration and medical terminology is required. To be considered current, the program and course must have been completed within the last five years, unless it has been used in recent positions. This must be demonstrated on the application form.
